Expenses and custody

Every expense has an account, and a project when there is one.

One expense voucher holds several invoices, each with its attachment and account. Split a shared invoice across projects by amount or percentage, and track each employee's custody until it is settled.

  • The account says what the expense is; the project is the cost center
  • Invoices split across projects, and the totals always match
  • Custody is not an expense: the expense is recorded at settlement

AI reads photographed invoices when you ask it to and turns them into rows you edit beside the original. It never approves or posts anything by itself.

The site engineer prepares the certificate, the project manager approves it or returns it with notes, then accounts review it and prepare payment. Approving work is not paying for it, and every step is recorded.

Every voucher, bill and certificate posts to journal entries that cannot be edited. Corrections go through reversals, and periods are closed. We review the accounting treatment and tax with an accountant before building.
